Creating Professional Invoices in 2 Minutes
Read the article below
An invoice is your brand's last impression before getting paid
A professional, well-structured invoice communicates that you run a serious business. It also dramatically reduces payment delays — clients pay faster when the invoice is clear, correct, and easy to act on.
Creating your first invoice
Go to Finance → Invoices → New invoice. Fill in:
- Client name and email — The invoice goes here automatically when you click Send
- Invoice number — Auto-increments from your prefix (e.g., INV-0001)
- Issue and due dates — Standard terms are 30 days from issue
- Line items — Description, quantity, and unit price. Total calculates automatically.
- Tax rate — Your workspace default pre-fills here. Adjust per invoice if needed.
GST compliance (India)
Indian businesses need invoices that show CGST/SGST (intra-state) or IGST (inter-state) separately. Proactiq handles this automatically:
- Enter your client's GSTIN in the invoice form
- Proactiq detects whether the supply is intra-state or inter-state based on your registered state
- Tax is split and labelled correctly on the invoice PDF
Invoice statuses
- Draft — Work in progress, not sent
- Sent — Delivered to the client, awaiting payment
- Paid — Payment recorded in full
- Overdue — Past the due date with no payment
- Cancelled — Void, no longer collectible
Send on the same day: Invoices sent within 24 hours of completing work are paid 3x faster than those sent a week later. Build the habit of creating the invoice the moment the work is done.
