Building Your Contact Database

Your contact database is your most valuable business asset

Every company you admire has one thing in common: an obsessively maintained list of the people they serve and sell to. This lesson shows you how to build yours in Proactiq.

The four contact statuses

Every contact in Proactiq has a status that tells you where they are in your relationship:

  • Lead — You have their details but haven't qualified them yet
  • Prospect — Qualified: they have the problem you solve and the budget to pay
  • Customer — Currently paying you
  • Churned — Was a customer, no longer active

Adding contacts efficiently

Three ways to build your database fast:

  • Manual entry — Add contacts one by one with full details
  • CSV import — Upload a spreadsheet from your old CRM or LinkedIn exports. Proactiq handles flexible column mapping automatically.
  • API — Connect your website's contact form directly to Proactiq CRM

Linking contacts to companies

When you create a contact, you can link them to a Company record. This means you can view all contacts at Acme Corp in one place, see all deals associated with that company, and track your entire relationship at the account level.

Data hygiene rule: Every contact needs at minimum a name and an email. Contacts without email addresses are almost impossible to act on — they exist in your system but can't be reached.
