Attendance seems simple: who came in, when, and who didn't. The complexity emerges the moment attendance connects to payroll — which it must, in every Indian business with more than five employees.
Late arrivals, half-days, overtime, weekend work, shift differentials, comp-off earned and consumed, and the link between attendance records and Loss of Pay calculations — all of this sits between a clock-in/clock-out record and a correct salary.
The three types of attendance systems in India
Biometric attendance systems are the most common for manufacturing and office businesses with fixed locations. Fingerprint or face recognition terminals record entry and exit times. Data exports to payroll. These cost ₹8,000–₹30,000 per terminal for decent quality. The problem: they work only at the physical location. Remote workers, field teams, and multi-location businesses need something else.

The eight attendance-related calculations that affect payroll
1. Present days: Affects basic salary calculation for employees on daily-rate structures.
2. Loss of Pay (LOP): When an employee takes leave beyond their available balance, the excess days are LOP. Deduction = (Monthly Gross / Working Days) × LOP Days.
3. Late mark policy: Many companies allow a grace period of five to fifteen minutes before marking late. Three or more late marks in a month might trigger a half-day deduction. Your software should configure and enforce this automatically.
4. Overtime: For shift workers and factory employees, overtime (work beyond eight hours or on Sundays) may attract 1.5x or 2x pay under the Factories Act. Attendance software must calculate OT hours per employee.
5. Comp-off: When employees work on weekly offs or holidays, they earn compensatory offs. The system must track comp-off earned, approved, and consumed.
6. Shift management: For businesses running multiple shifts, attendance software must assign employees to shifts, track shift changes, and calculate night differentials where applicable.
7. Leave integration: Attendance and leave must be the same system, or deeply integrated. A leave request that's approved in HR but not reflected in attendance creates incorrect LOP deductions. This is one of the most common payroll errors in Indian businesses.
8. Holiday calendar: National holidays, state-specific holidays, and optional holidays vary across states. An employee in Tamil Nadu has different holidays than an employee in Punjab. Your attendance system must maintain state-wise holiday calendars.
What to check when selecting attendance software
Run this test before committing: Create an employee who was present twenty days, on approved leave three days, on LOP two days, and worked overtime four hours on two Sundays. Export the attendance data and check whether the payroll calculation that follows is automatically correct.
