Automated invoice reminders: Three days before due date, send the distributor an automated reminder via WhatsApp or email with the outstanding invoice amount and payment link.
Due date communication: On the due date, send the invoice again with a payment request.
Seven-day overdue: Personal call from the area sales manager. Not the accounts team — the relationship person.
Fourteen-day overdue: Stop accepting new orders from this distributor until outstanding is cleared or a payment plan is agreed.
Thirty-day overdue: Formal letter from management. Consider involving a collections specialist.
Sixty-day overdue: Legal notice under the MSME Act (if you're registered as an MSME, you have statutory rights) or civil recovery proceedings.
The ledger reconciliation process
Distributor payment disputes almost always arise from reconciliation differences. Your books show they owe ₹3.2 lakh. Their books show they owe ₹2.8 lakh. The ₹40,000 difference might be a credit note they haven't received, a return they sent back, or a pricing error in one of the invoices.
Monthly ledger reconciliation — sharing account statements with each distributor and confirming agreement — prevents these disputes from accumulating into large, hard-to-resolve differences.
