What an Indian payslip must contain

Company information:

  • Company name and logo
  • Company address
  • GSTIN (if applicable)
  • PF registration number
  • ESIC registration number (if applicable)
  • Employee information:

  • Employee name
  • Employee ID (unique identifier in your HR system)
  • Designation and department
  • Date of joining
  • PAN number (required for TDS records)
  • PF account number (UAN — Universal Account Number)
  • ESIC IP number (if applicable)
  • Bank account number and IFSC code
  • Pay period:

  • Month and year clearly stated
  • Working days in the month
  • Days worked (present days)
  • Days of leave taken (by category: CL, EL, SL)
  • LOP days (if any)
  • Earnings breakdown:

    Every component of the employee's salary must be listed separately. Typical components:

  • Basic Salary (the foundation — all statutory calculations reference this)
  • House Rent Allowance (HRA) — typically 40–50% of basic for metros
  • Special Allowance (or Other Allowance) — the balancing component
  • Transport Allowance (or conveyance) — if provided separately
  • Medical Allowance — if provided separately
  • Variable Pay / Incentive / Bonus — if applicable for the month
  • Leave Encashment — if applicable
  • Total Gross Salary (sum of all earnings before deductions)

    Deductions breakdown:

  • Provident Fund (Employee Contribution) — 12% of basic
  • ESIC (Employee Contribution) — 0.75% of gross (if applicable)
  • Professional Tax — state-specific amount
  • Income Tax (TDS) — monthly TDS deduction
  • Any loan EMI recovery
  • Any other deduction (with description)
  • Total Deductions (sum of all deductions)

    Net Pay (Gross Salary minus Total Deductions) — the amount transferred to bank

    Leave balance: Show opening balance, consumed, and closing balance for each leave type. Employees check this constantly.

    YTD (Year to Date): Show cumulative earnings and deductions from April to the current month. Banks often ask for YTD data when employees apply for loans in the middle of the year.

    The format that helps employees the most

    Present earnings on the left column and deductions on the right column. Show running YTD totals. Include the UAN number prominently — employees need it to check their PF balance. Include the month's attendance summary at the top.
