Key Findings

In-depth analysis from 1,247 business owners and finance managers across multiple markets.

1

The Spreadsheet Trap

74% of SMBs with under 50 employees use Excel or Google Sheets as their primary operational tool. The average business maintains 12 separate spreadsheets for different functions — creating data silos, version conflicts, and a knowledge dependency on one or two people who built the sheets. When those people leave, the business loses operational intelligence.

📊 74% use spreadsheets as primary ops tool

2

The Tax Compliance Burden

SMBs add an average of 1.4 full-time equivalent hours per employee per month in compliance overhead. For a 20-person business, that's 28 person-hours every month spent on tax reconciliation, return preparation, invoice review, and reporting.

📊 $1,200/month in hidden tax compliance cost for a 20-person business

3

The Payroll Compliance Gap

Payroll compliance varies by country, state, salary bracket, benefit structure, and employee category. Our survey found that 58% of SMBs have received at least one compliance or payroll correction notice in the past three years. Of those, 71% said the issue was a calculation error, not intentional non-compliance.

4

The Software Fragmentation Problem

The average SMB with 15-50 employees subscribes to 5.3 different software tools. These rarely integrate — data is manually transferred between systems, or entirely duplicated. Beyond the $724/month average cost, the fragmentation costs are hidden: training time, context-switching, missed data, and delayed decisions.

📊 5.3 software tools on average — with near-zero integration

5

The Chat-Based CRM

Messaging apps and inboxes have become the de facto CRM for many SMBs. Leads come in, quotes are sent, follow-ups happen, and orders are confirmed — all in the same scattered threads. 68% of businesses we surveyed said their CRM is a combination of chat, inboxes, notebooks, and memory. The result: an average of 23% of leads are never followed up because they get buried.

6

AI Adoption: Early but Accelerating

32% of SMBs surveyed have begun using AI tools for at least one business function — predominantly content writing, customer communication, and basic data analysis. However, only 7% have integrated AI into their core operations such as payroll, billing, or CRM. This gap represents the largest efficiency opportunity for growing businesses in 2026.
